Description of Positions at Rixis Dermatology

  • The Office Manager oversees day-to-day clinic operations to keep Rixis running smoothly for both patients and staff. This role manages inventory and daily coverage, supports front desk and clinical workflows, oversees patient accounts and billing follow-up, tracks compliance/licensure and credentialing, and assists with HR functions such as hiring, evaluations, payroll/PTO approval, and schedule management. The Office Manager is also the main point of contact for escalated or sensitive patient issues and works closely with ownership to maintain and improve clinic processes, staff accountability, and overall patient experience.

    Key Responsibilities

    Operations & Clinic Support

    • Maintain the inventory system, reorder supplies and track stock levels.

    • Coordinate daily coverage and task assignments (e.g., front desk, scheduling); step in to cover roles during call-offs when needed.

    • Ensure staff complete assigned tasks and follow clinic processes; assist with process/SOP creation and updates.

    • Coordinate with vendors and representatives (IT, phones, fax, software, medical equipment, supply reps) and handle basic tech or facility issues.

    • Monitoring the clinic and patient schedule and looking forward to anticipate issues.

    Patient Accounts & Billing

    • Monitor the outside billing team: maintain regular communication, track follow-ups, and surface issues to ownership.

    • Approve and monitor patient refunds.

    • Review patients slated for collections and authorize/send final approvals.

    • Handle accounts payable (paying bills) and keep simple tracking of due dates and confirmations.

    Compliance, Licensure & Credentialing

    • Track practice and employee compliance requirements (e.g., OSHA/HIPAA), licenses, and certifications; keep expirations current.

    • Monitor provider insurance credentialing status with the outside credentialing vendor.

    People Management & HR Admin

    • Support recruiting and hiring; coordinate interviews; assist with onboarding.

    • Conduct or co-lead employee evaluations with ownership; provide feedback and handle/document discipline when required.

    • Approve payroll and PTO entries.

    • Monitor provider/staff time-off calendars and prevent schedule conflicts.

    • Mediate staff conflicts and escalate when appropriate.

    • Maintain and help update office policies, employee handbook content, and SOP documentation in coordination with ownership.

    • Support staff education by identifying recurring errors or gaps.

    Patient Relations & Issue Resolution

    • Handle escalated or difficult patient conversations, including billing disputes and other sensitive issues; document outcomes.

    Reporting & Practice Metrics

    • Run simple reports and track basic metrics (e.g., no-shows, wait times, referring providers, 6 month/1 year appointments).

  • Position Summary

    As a Medical Assistant at Rixis Dermatology, you’ll play a key role in patient care for one of the most respected dermatology jobs in the region. Responsibilities include taking patient histories, assisting with procedures, scribing, and providing pre- and post-care instructions. Compassion, efficiency, and attention to detail are vital. Previous experience as a medical assistant in dermatology is strongly preferred.

    Key Responsibilities

    • Verifying patient information by interviewing patients, recording medical history, and confirming the purpose of the visit

    • Entering medical history and visit information into our electronic health record (EHR) system

    • Escorting patients to exam rooms and ensuring they are prepared for the physician

    • Preparing patients for exams by providing them with necessary materials

    • Assisting physicians during medical examinations and procedures

    • Taking photographs for medical records

    • Scheduling medical procedures

    • Instructing patients on the correct usage of medications and phoning in prescriptions to pharmacies

    • Changing wound dressings, removing sutures

    • Collecting, logging, and packaging lab specimens for transport

    • Sterilizing medical instruments and managing medical supply inventory

    • Conducting phone triage and notifying patients of pathology and lab results

    • Scribing for office visits

    • Administering IM, SQ, and topical medications as ordered

    • Performing and documenting nurse visit appointments including suture removals, Patch Testing, and Biologic injections

    • Maintaining a safe, secure, and healthy work environment by following standards and procedures

    Minimum Qualifications

    • High School diploma or equivalent

    • Experience in a medical office environment

    • Motivated to learn and assist with various tasks

    • Committed to delivering the highest level of patient care and customer service

    • Knowledge of ICD-10 and CPT coding (preferred)

    • Thorough understanding of HIPAA regulations
